Manual checks can support an initial investigation when the question set is small and someone can preserve the evidence consistently. Consider software when repeated collection, multiple markets or review work becomes difficult to maintain. Decide from the workload and evidence you need, not from a visibility score alone.
Start with a repeatable manual baseline
Choose a small set of buyer questions and record the exact wording, tool, date, language and relevant collection conditions. Save the answer and its cited URLs where available. Note whether you used a consumer interface or an API. A screenshot without the question and date is difficult to compare later.
Use a simple review sheet to distinguish a mention, a source citation and a recommendation. Record unsuccessful checks separately. This process can reveal an unclear offer or missing source page before a team commits to a broader monitoring subscription.
Upgrade when the process has a specific bottleneck
Estimate how many observations you intend to collect and who will inspect them. More software capacity is useful only if your team can review the evidence and decide what to do next. Ask a vendor to demonstrate the step that currently consumes time: collection, citation review, classification or reporting.
Compare a sample software record against your manual baseline. Different prompts, tools or collection surfaces can produce different results; that discrepancy is a question to investigate, not automatic proof that either approach is wrong. Keep the old baseline when starting a new method so you can explain the transition.
What to check
- Write down the questions and collection conditions before the first round.
- Estimate collection and review time separately.
- Trial software against the evidence format your team actually needs.
A practical example
Illustrative example: a founder checks six buying questions monthly and keeps the full answers. As a second market is added, collecting the evidence becomes manageable but reviewing citations does not. The software trial therefore focuses on source inspection and export rather than simply increasing the prompt allowance.
